How to Get More Customer Reviews (the Honest Way)

Happy customers rarely leave reviews unless someone asks. Here is how to ask at the right moment, make it effortless, and stay on the right side of the rules.

How to Get More Customer Reviews, Honestly

Most satisfied customers never leave a review. They are not unhappy; they are busy, and it simply does not occur to them. Unhappy customers, on the other hand, often feel strongly enough to write something. Left alone, that gap means your reviews can paint a worse picture of your business than your customers actually hold.

The fix is not complicated: ask more people, at better moments, in a way that takes them less than a minute. This guide covers how to do that, and the shortcuts you should never take.

Why reviews matter for a small business

For many people, reviews are the deciding factor between two businesses that look similar on paper. Recent reviews show you are still active. Detailed reviews answer questions people would otherwise call to ask. Your replies show how you treat customers when something goes wrong. A listing with no reviews is not necessarily a bad sign, but it gives a cautious customer nothing to go on.

Ask at the right moment

Timing is the single biggest factor in whether someone follows through. The best time to ask is when the customer has just experienced the value of what you did:

  • Home services: right after the job is finished and the customer has seen the result, or a day later once they have had time to use it.
  • Restaurants and cafes: on the receipt or table card, or in a follow-up for online orders.
  • Healthcare and professional services: after a positive outcome or a completed engagement, keeping in mind any privacy rules that apply to your profession.
  • Retail: after the customer has had the product long enough to form an opinion.
  • Any business: when a customer thanks you or compliments your work. That is your cue.

A simple, sincere line works: "I'm really glad this worked out. If you have a minute, a review would help other people find us."

Make it effortless

Every extra step loses people. Remove as many as you can:

  1. Send a direct link to your listing so the customer lands exactly where the review button is. Do not make them search for you.
  2. Use the channel they already use with you. If you text appointment reminders, text the review request. If you email invoices, add a line to the email.
  3. Keep the message short. Two sentences and a link.
  4. Put it in print. A small card with your listing link or a QR code, handed over at the end of a job, works well for in-person businesses.
  5. Follow up once, gently, if they said yes but have not gotten to it. Once is enough.

Help customers write useful reviews

You should never tell a customer what to say, but you can make it easier to write something helpful. Instead of "leave us a review," try "it helps other customers to hear what we did and how it went." People who know what is useful tend to mention the service, the location and the experience, which is exactly what future customers want to read.

What not to do

Some review tactics break platform rules, and some can break consumer protection law. The Federal Trade Commission has rules against fake and misleading reviews, and most review platforms have their own policies on top of that. Avoid all of the following:

  • Paying for reviews, or offering discounts, gifts or entries into a draw in exchange for them.
  • Writing reviews yourself, or having employees, friends or family post reviews as if they were customers.
  • Review gating: asking customers how they feel first and then only sending the review link to the happy ones. Ask everyone, or ask no one.
  • Buying reviews from any service, no matter how "real" it claims they are.
  • Pressuring customers to change or remove a negative review.
  • Posting fake negative reviews about competitors.

Beyond the risk, fake reviews tend to be easy to spot. A sudden burst of five-star reviews with similar wording is exactly what careful customers have learned to distrust. Our review guidelines explain what is and is not allowed on this directory.

Respond to every review

Replying to reviews, good and bad, shows customers that a real person is paying attention. It also encourages more reviews: people are more likely to write one when they can see that the owner reads them.

  • For positive reviews: thank the customer by name if they used it, and mention something specific from their review.
  • For negative reviews: stay calm, acknowledge the problem, and offer a way to make it right. We have a full guide on responding to negative reviews.

Build it into your routine

Reviews come steadily when asking is part of how you work, not a campaign you run once a year. A few ideas:

  • Add the review request to your job completion checklist or end-of-visit script.
  • Put a review link in your email signature and on your invoices.
  • Set aside a few minutes each week to reply to new reviews.
  • Thank team members when a customer mentions them by name.

A quick checklist

  • Ask every customer, not just the ones you expect to be happy.
  • Ask when the value is fresh.
  • Send a direct link.
  • Keep the request to two sentences.
  • Follow up once.
  • Never pay, gate, or fake.
  • Reply to every review.

Make sure customers can find you

All of this works best when your listing is yours to manage. If your business is already in the directory, find it and claim it so you can reply to reviews. If it is not, add your business for free.
